Frequently asked questions and Tips for eForms

Preparing to complete your application:

Before beginning the application process, make sure you are prepared with all the information you will need to complete the form, including:

  • Information to be entered into the form (e.g., exam date/location, experience information, training details)
  • Supporting documents (e.g., Proof of Grade 12, job description, training certificates, etc.)
  • Payment information

Each form has instructions, both on the form’s access link/download page on the Government of Ontario’s Central Forms Repository, and in the form itself.

Frequently asked questions, answers and tips to help you complete your form quickly and efficiently are included below.

Tips:

  • All date fields have a drop-down calendar. Just click on the right edge of the field and the drop-down will appear.
  • Forms must be signed by the applicant before they are submitted. The type of signature required depends on the version of the form.

Form Submission Questions

How do I complete and submit an eForm?

The form can be completed online or through a fillable PDF form. Each version of the form contains the same fields.

If you choose to complete the form online:

  • You are able to draw your signature using the field provided.
  • You can upload any required supporting documents.
  • After completing the form, clicking the ‘Submit’ button will take you to the secure credit card payment portal.
  • Following payment confirmation, the application is submitted to OWWCO.
  • You will receive a confirmation email, which includes the following:
    • PDF a copy of the completed form as a PDF for your records
    • Submission confirmation number
    • Payment receipt (including a payment confirmation number)
  • Please allow several minutes for the email confirmation to be received.
  • Note: You cannot save your progress using the online form.

If you choose to complete the fillable PDF form:

  • You are encouraged to open the PDF form document in Adobe Acrobat Reader.
  • You are able to provide your signature by selecting an image file of your signature that will appear in the field provided.
  • You can upload any required supporting documents.
  • The fillable PDF form option allows you to save your progress and email the form to additional parties if needed.
  • After completing the form, clicking the ‘Submit’ button will take you to the secure credit card payment portal.
  • Following payment confirmation, the application is submitted to OWWCO.
  • You will receive a confirmation email, which includes the following:
    • PDF a copy of the completed form as a PDF for your records
    • Submission confirmation number
    • Payment receipt (including a payment confirmation number)
  • Please allow several minutes for the email confirmation to be received.

Can I complete the form in either official language, English or French?

Can I include my Proof of Grade 12 or equivalent on my PDF/online form?

  • You can attach your Proof of Grade 12 as a single file on the Examination Registration form.
  • If you have several documents to submit, merge them into a single document. If you do not have access to a computer application that can do this, online tools such as Google’s Merge PDF, or follow WikiHow’s instructions, which provide options for Mac, PC, and web browser-hosted applications.
Exam Session Questions

Do I need to know the details of the exam session before I complete the form?

  • It is recommended that you visit the Exam Schedule for information on exam dates and locations prior to completing the Examination Registration form.
  • For ease of use, the Exam Registration form includes links to the Exam Schedule.
  • Use these links to ensure the exam session you want is still open when applying.

What happens if exam session I want to write at is full?

  • Examination Registration applications are processed on a first-come/first-served basis.
  • As a result, if an exam date and location status is showing as open when you are completing your form, the exam session may be full when your application is processed.
  • To avoid delays the Examination Registration eForm has an option that allows you to select an alternate exam date and location.
  • If your preferred exam date and location is unavailable, you will be automatically registered for your alternate exam date if space is available.

Can I apply for multiple exams at the same time?

  • The Exam Registration eForm allows you to register for a maximum of two exams on the same day, one in the morning (Drinking Water) and one in the afternoon (Wastewater or Operator-in-Training).
  • You cannot write two drinking water exams or two wastewater exams on the same day.
  • If you would like to register for exams on more than one date, you will need to complete one Examination Registration form for each exam date.
  • The Exam Registration form has an option that allows you to specify an alternate date/location for your exams, should your preferred exam date be full.
  • It is recommended that you visit the Exam Schedule for exam dates and locations, before you begin completing the form.
Payment Questions

How do I pay?

  • After completing the form, clicking the ‘Submit’ button will take you to the secure credit card payment portal.
  • The payment portal accepts Visa and Mastercard debit and credit payments.
  • Interac payments are not supported.

What if my employer will be paying for my application?

There are a few options available if your employer will be paying your application fee:

  1. Reimbursement:
    • Submit your completed application and pay the application fee through the secure credit card payment portal.
    • Forward the confirmation email, which includes the Payment Receipt to your employer as proof that your application has been submitted and the fee paid.
    • Your employer may now reimburse you for the application fee.
  2. Use an authorized employer-provided payment card to pay the application fee.
  3. Employer Submission and Payment:
    • Complete the PDF version of the application form, attaching any required supporting documents.
    • Save a copy of your application by clicking the ‘Save Form’ button at the bottom of the form.
    • Email the saved PDF application to your employer. Include written authorization for your employer’s representative to submit the application on your behalf.
    • The representative may then submit the application on your behalf and provide payment.
    • You will receive a confirmation email, which includes the following:
      • PDF a copy of the completed form as a PDF for your records
      • Submission confirmation number
      • Payment receipt (including a payment confirmation number)
    • If required for payment reconciliation, provide a copy of the confirmation email to your employer.

Important:

  • Confirmation emails are sent to the applicant only using the email provided on the application form.
  • If an email other than the applicant’s is included on an application form (e.g., shared work email, or another person’s email), the application will be closed and the fee refunded.
OIT Certificate Issuance Questions

How do I pay for the issuance of operator-in-training (OIT) certificates/licences?

  • You have two options for requesting OIT certificates/licences:
    1. You can use the Examination Registration form to request the issuance of OIT certificate/licences upon when you pass the OIT exam, or
    2. You can use the Operator-in-Training Certificate and Licence Issuance form to request the OIT certificate/licences at a later date.

I requested the issuance of operator-in-training (OIT) certificates/licences with my exam application, but failed the exam, what happens to the fees for the certificate/licences?

  • If you failed your OIT exam, the fees charged for the issuance of OIT certificate/licences will be refunded to the payment card used to pay for your application.
General Questions

Do I submit my application through the Water Wastewater Operator Certification System (WWOCS)?

  • No, do not submit any applications through WWOCS, use either the PDF or online versions of the eForms.

What if I can’t complete the form electronically?

If you cannot complete and submit the eForm online, please contact OWWCO Customer Service directly.
